1.Introduction #

Welcome to Apollo, the whole team is so excited to have you onboard!

Below is everything you need to get going with the platform, from creating your profiles to leaving reviews for your successful bookings.

2.Getting Started #

By now you have signed up and created an account with Apollo, it takes just moments to be ready to start making bookings and connecting with other industry professionals, let’s start with creating a profile.

3.Creating a Profile #

Apollo is built to facilitate the handling of bookings for 3 main industry groups, which are represented as three options when creating a profile;

Performers (Musicians, Live Acts, e.t.c)

Promoters (Individuals hosting events, as well as Venues, Festivals, e.t.c)

Agents (Can create or manage a performer profile on behalf of an act.)

 

To Create your first profile, click the + icon in the top right.

 

Select the profile type that is best suited for the business you would like to run bookings for.

Performers

Step 1 of 2: Settings

Complete the fields as much as possible, the most complete profiles give promoters more confidence when selecting who to work with.

Your public profile will be a Audio/Visual portfolio and any links you supply in your ‘My Links’ section will be displayed there. No links are mandatory but it's recommended to fill as many as possible.

Step 2 of 2: Additional Information

This section features some Industry standard tools to increase your success whilst using the platform.

Verification

An optional feature Users can apply for. If given, a Blue Tick will be applied to your profile to show that the profile is Authentic and managed by the correct person. To apply for the blue tick, you will have to upload evidence of ownership to any Facebook, Spotify, Soundcloud or Instagram accounts linked in the My Links section (such as screenshots of admin access to provided profiles), after which the application will be reviewed by Apollo and if found to be sufficient, your profile will become Verified within 5 business days.

My Team

Where you can nominate another user (such as your Agent or group member) to control the Performer Profile. They will get full access to: update information, chat to other profiles & create/manage bookings. You can invite the user by entering their email into the box, if they already use Apollo, be sure to use their account email address. This can be updated or removed at any time from Profile Settings.

Pro Status

Currently Apollo and all its features are a 100% free to use with one profile, if you wish to take advantage of this simple workflow for multiple projects you can upgrade to Pro Status for a monthly subscription. This will allow you to create as many profiles, of any type, as needed. With the one account you could be a Performer, Promoter & Agent for another users profile.

Promoters

Step 1 of 2: Settings

Complete the fields as much as possible, the most complete profiles give Performers and their Agents more confidence when selecting who to work with.

Pro Status

Currently Apollo and all its features are a 100% free to use with one profile, if you with to take advantage of this simple workflow for multiple projects you can upgrade to Pro Status for a monthly subscription. This will allow you to create as many profiles of any type as needed. Seperate profiles can be assigned for multiple venues, festivals or even for splitting up separate performance areas at the one event, all the while managing your own Performer Profile bookings.

Agents

Step 1 of 2: Settings

If the artist is already an Apollo user, simply ask them to send your user account email a "My Team" request from their profile settings or if you would like to create a profile for your Performer, simply select “Create”.

Complete the required fields as much as possible, the most complete profiles give promoters more confidence when selecting who to work with.

4.Your Promotional Page #

Once your profile is complete, you will be able to view your public profile. This can be done at any time by clicking “view my profile” next to the profile name under the search bar on the Dashboard, Chat, Calendar and Review sections.

An Apollo account is not needed to view your profile so it can be used to promote your projects in the public domain and people external to Apollo.

Some examples of use:

For Performers: Share your profile with promoters and venues to showcase your performance in a visually striking format.

For Promoters: You can share the profile to showcase your work history and reliability.

The Profile can be updated at any time from Profile Settings.

5.Switching Profiles (Pro Status Only) #

Using the icons at the top, you can switch between multiple profiles.

Each profile has its own dedicated Home screen, Chat window, Calendar, Reviews and settings all accessible from the left hand side panel.

6.Home Screen #

When a profile is selected you will land on that profile’s Home Screen which provides you with all the essentials at a glance. Here, you can view new messages, bookings (arranged by date) & even the latest reviews that have been left for this profile.

7.Search Profiles #

You can select the search icon at the top right of the screen, the search window allows you to search by the following a profile name. To refine your results you can filter the search by the following:

To see a profile from search results you can click the to visit their profile page

To start a chat window you can select the To take you directly into the chat window.

To close the window select “Close Search” at the bottom of the window.

8.Chat & Creating Bookings #

The Chat screen is one of Apollos best features as it allows bookings to be created and managed without ever leaving the chat window. It is divided into four parts;

Contacts

The people you connect with are displayed here with the newest messages at the top. Clicking on a contact will display your conversation in the next window.

Messages

Once a contact has been selected your conversation with them will appear here. As profiles may have various users running them, the name of the person who sent a message is displayed under the profile type.

Bookings List

By clicking the + icon in the bookings list, a new booking will be created between the profile you’re using and the profile you are currently talking to. Once created the booking will appear in the list, you can have an unlimited number of bookings with any profile. Selecting a booking will show the details in the Manage Booking section.

Manage Booking

You can set details and manage files for the booking here.

When a booking has been created it will automatically show as “Pending”

Once you are happy with the booking details and terms you can “Approve” it. Once approved by both parties the Booking status becomes “Confirmed”. If booking details are changed after it has been confirmed, the status will automatically change to “Changes Pending”, until both parties approve again. If you cancel a booking after it has been Confirmed, it will remain in the bookings list with the status “Cancelled”.

9.Calendars #

Apollo features 2 calendars to make managing bookings simple.

Profile Calendar

Found on the left side bar, this displays all your bookings in a calendar format for the selected profile. Click a booking to view and manage the details.

Global Calendar

To view bookings from all Profiles in one place you can use the global calendar, located at the top right next to your User Name.

10.Reviews #

After a booking has occurred it will be available for review by both parties, this attributes to your Profile rating. The comment section of the review will not be publicly displayed and is designed to provide an opportunity to give constructive feedback. To ensure comfort in reviewing truthfully for the first few bookings of a profile, the star rating for a profile will not be viewable until the profile has received a total of 3 bookings and will instead be greyed out with “NA” next to it. The number displayed next to the star rating in brackets is the number of reviews for this profile.

You can access the reviews section on the left sidebar for your profile. Here you can see comment section of reviews left for you and your reviews of others.

After a booking reaches initial confirmation by both parties, your experience will be reviewable upon completion or cancellation.

If you wish to lodge a review dispute, please fill out the application below with the booking review title, date, relevant profile names and issues or alternatively email us directly at info@apollolive.co.

11.Settings #

The settings for your profile are available at the bottom of the left side bar, here you can edit all the profile settings just like the screen you used when creating the profile.

If you would like to change your Login details you can change these from the User menu in the top right.

Once here you can change your Password, view/delete your profiles, manage your Pro status or delete your account.

12.Assigning "My Team" (Group Members, Agents and Others) #

As Performers and Promoters often work in teams, with Performers often operating as duo’s/bands with an Agent and Promoters working with artist liaison’s or booking managers, Apollo enables multi-user access to a profile. “My Team” enables the addition and removal of other Users to a profile.

Added users will get full access to update information, chat to other profiles & create bookings. You can invite your Team Members by entering their email into the box (if they already use Apollo, be sure to use their account email address).
